Terms and Conditions

Term & Conditions

  • DEFINITION OF TERMS IN THIS WEBPAGE AND IN THE ONLINE STUDENT PORTAL:

    • "Classes" refers to the time & date. For example: Friday 4/3/16.
      • Therefore, a "class" is distinguishable from a "lesson" because a "class" cannot ever be repeated.
    • "Lessons" refers to the academic content used during a "class". For example: "IELTS - Writing Task 2 - Analysis of vocabulary about the environment
      • A "lesson" is distinguishable from a "class" because a "lesson" can be repeated multiple times during multiple "classes"

  • Confirmed & Waiting Lists for classes:

    • Places in classes are determined on a first in, first served basis. This means that once a class reaches a maximum number, any students who try to select the class will be placed on a waiting list. (Exemption for your first week prior to Wednesday night schedule release)
    • It is therefore the responsibility of each student to register for classes as soon as possible after each Wednesday 9pm.

  • More information regarding the Waiting List:

    • Students should be aware that they will be automatically placed on a Waiting List for some classes for one of the following reasons:
      • 1. Because they have left it too late to select classes in their Student Portal and therefore the class has already reached maximum capacity.
      • 2. Because they have repeatedly failed to cancel registration for classes they have previously selected (see next point for further explanation)

  • Failure to cancel classes with anticipation:

    • If a student is no longer able to attend a class they previously registered for, English Key requests the student to cancel the class via their Student Portal with at least 24 hours notice.
    • Important (cancel with less than 24 hours): students who fail to cancel 2 classes with less than 24 hours notice will be automatically moved to the Waiting List for 2 subsequent classes.
    • Important (not cancelling at all) Students who completely fail to cancel 2 classes during their course will be automatically moved to the Waiting List for 3 subsequent classes
    • These two strict policies are designed to ensure that all students have access to as many classes as possible and that no students unnecessarily reserve spaces that could otherwise be given to other students.
    • For this reason, students on any of English Key's "Unlimited" courses must not select classes they do not genuinely intend to come to.

  • Late Arrival to Class

    • In the situation where a student arrives more than 20 minutes late to their class, English Key may give their space in the class to a student who was on the Waiting list. Very late students may also be denied entry to the class at the discretion of the teacher if the teacher feels that this interruption may impede sound classroom management. No extensions will be offered under these circumstances to cover lost classes as it is the responsibility of each student to arrive punctually to class.

  • Course Durations*:

    • 1 Week Courses: 7 consecutive days of enrolment from date of first class.
    • 2 Week Courses: 14 consecutive days of enrolment from date of first class.
    • 1 - 3 Month Courses: a "month" is defined as 30 days of enrolment from date of first class. *Sundays are considered a day of enrolment

  • Public Holidays:

    • English Key does not offer classes on public holidays and extensions are not provided on courses that include days that are public holidays. (Exceptions for students enrolled in 1 Week Courses)

  • Pausing courses:

    • English Key does not allow students to "pause" their courses. Students are expected to plan ahead prior to enrolment. However, the pausing of courses may be granted for medical or family reasons which require a student to return temporarily to their country of origin.

  • Refund Policy:

    • English Key only offer refunds in limited circumstances like a serious medical issue or a family emergency that requires you to leave the country. However, we do understand that sometimes for legitimate reasons beyond a student's control, he or she may not be able to continue his or her course.
    • In these scenarios, the student has the option to transfer the remaining days of their course to a friend who is not currently enrolled in an English Key course. This opportunity is valid for 2 months from the time the enrolled student advises English Key in writing that they can not continue.

  • Communication regarding any administrative or scheduling issues:

    • If you require further clarification regarding any points in this document or assistance with selecting classes, please email info@englishkey.com.au (Melbourne) or sydney@englishkey.com.au (Sydney) and we will be happy to promptly respond.
